Certification tracking software buyer's guide

A practical way to evaluate certification and training systems without depending on a polished sales demonstration. Use these questions with every vendor, including CertTracker.

Start with the operational problem

The right system depends on what must stay current and who acts when it does not. List the certifications, licenses, training courses, classes, recurring requirements, and documents your team manages today. Then identify the people who add records, approve evidence, receive alerts, and make scheduling decisions.

Do not begin with a feature count

A longer feature list does not prove that a manager can find a gap, collect a renewal, or produce clear evidence. Test complete workflows.

The nine-part scorecard

Mark each category as required, preferred, or unnecessary. Ask vendors to show the workflow instead of answering only yes or no.

Requirements

Custom certification and training types, role or location rules, recurring requirements

Renewals

Configurable reminders, escalation, overdue visibility, responsible owner

Training

Courses, classes, assignments, attendance or completion, renewal rules

Evidence

Documents, notes, issue and expiry dates, history, verification workflow

Reporting

Current status, missing items, upcoming expiries, PDF and CSV exports

Access

Roles, permissions, employee upload options, multi-location visibility

Security

Authentication, encryption, backups, subprocessors, incident contact

Portability

Export process, cancellation behavior, retention and deletion terms

Commercials

Employee limits, storage limits, messaging costs, support and renewal price

A five-step product test

Write down the decision you need to make

Examples: who cannot be scheduled next week, which licenses expire this quarter, or whether every person in a role completed required training.

Test with representative records

Use a few employees, multiple locations, a recurring certification, a class, and a missing requirement. Clean sample data can hide workflow gaps.

Run the renewal workflow

Check how early reminders are sent, who receives them, what happens when a record stays overdue, and how a replacement document is collected.

Produce evidence

Generate the report you would give a manager, customer, or auditor. Confirm that status and supporting records can be understood without a product expert.

Test your exit path

Ask how to export data and documents, how cancellation works, and when retained data is deleted. Record the answer before purchase.

Security questions to record

  • How are data encrypted in transit and at rest?
  • Which subprocessors store or process customer data?
  • What roles and access controls are available?
  • How are backups, incidents, and vulnerability reports handled?
  • Which formal certifications are currently held? Ask for evidence.
